What we collect, why, and what you can do about it.

MBDC Communications Inc. runs mbdc.io from our studio at 2180 2nd Avenue in Whitehorse, Yukon. This policy explains what information the site collects, what we do with it, who else touches it, and the choices you have. We’ve written it in plain language on purpose. If anything is unclear, ask us.

We are a private company in Yukon, so the federal Personal Information Protection and Electronic Documents Act (PIPEDA) is the law that governs how we handle personal information. This policy follows its principles: collect only what we need, tell you why, keep it safe, and give you access to it.

The short version

We collect very little. Browsing the site sends anonymous usage data to Google Analytics. Sending a project brief gives us your name, contact details and what you told us about your project, which we use to reply to you and for nothing else. We don’t sell information and we don’t add you to mailing lists. When we run Google Ads, Google may use your visit to measure the ads and to show you ours elsewhere, and you can opt out of that below.

What we collect when you browse

Like every website, our server records basic technical details when it sends you a page: your IP address, browser and device type, the pages you visited and the time. These logs live on our hosting provider’s server in Toronto and are kept for a short period, then deleted. We use them to keep the site running and to spot abuse.

We also use Google Analytics 4 to understand how the site is used: which pages people read, how they arrived, roughly where they are (city or region, never a street address), and whether they tapped our email address, phone number or a call to action. Google Analytics does not store your full IP address. The analytics tag only loads after you interact with a page or a few seconds after it finishes loading. Aggregated usage data is kept in Google Analytics for 14 months.

The footer shows the current weather in Whitehorse. Your browser fetches that from a weather service directly, which means that service sees your IP address the same way any website you visit does. Nothing else about you is sent with the request.

Google Ads

From time to time we advertise the studio on Google. Our analytics account is linked to a Google Ads account so that, when a campaign is running, Google can tell us whether an ad brought you here and can show our ads to people who have visited the site before (remarketing). Google does this using its own cookies and identifiers, under Google’s privacy policy. It does not give us your identity. You can opt out of personalized ads from Google at adssettings.google.com, and from most Canadian advertisers at youradchoices.ca.

What we collect when you send a project brief

The Start a project form asks for your name, your organization and what kind it is, what you need, a description of the project, a timeline, a budget range, your email address, an optional phone number, and how you heard about us. Only your name, email and a description are required. We ask for the rest because it helps us give you a useful answer, and every question can be skipped.

When you send it, three things happen. A copy is stored in a database at Cloudflare so nothing is lost if an email goes astray. The brief is emailed to our studio inbox through MailerSend, an email delivery service. And it lands in our Google Workspace mailbox, where the person who replies to you reads it.

We use your brief to understand your project and reply to you. We won’t use it for marketing, and we won’t share it with anyone outside the studio and the service providers named above.

The form has a hidden field that people never see but automated spam bots fill in. Submissions that trip it are discarded without being stored or sent.

When you email or call us

If you email newbusiness@mbdc.io or call the studio, we keep the message or a note of the call so we can follow up. Emails are stored in Google Workspace.

Who else handles your information

We don’t sell personal information, and we don’t share it for other people’s marketing. The following providers process it on our behalf, each only for the job named, under their own privacy commitments.

DigitalOcean hosts the website on a server in Toronto, Canada. Cloudflare receives the project form and stores briefs; its servers may be in the United States. MailerSend delivers the brief to our inbox; its servers are outside Canada. Google provides our email (Google Workspace) and analytics (Google Analytics); its servers are mainly in the United States.

Because some of these providers are outside Canada, your information may be stored or processed in another country and could be subject to that country’s laws, including lawful access by its authorities. We choose providers with strong security practices and share only what each one needs.

How long we keep it

Server logs are kept for a few weeks. Analytics data is kept for 14 months. Project briefs and emails are kept while we’re in conversation or working together, and for up to two years after our last contact, so we can pick things up where we left off. After that we delete them. If you’d like your brief deleted sooner, ask and we will.

Keeping it safe

The site is served only over HTTPS. Access to briefs and our inbox is limited to the people at MBDC who need it, protected by strong passwords and two-factor authentication. No system is perfectly secure, and if a breach ever created a real risk of significant harm to you, we would tell you and report it to the Privacy Commissioner as the law requires.

Your choices and your rights

Email privacy@mbdc.io to ask what personal information we hold about you, to have it corrected, or to have it deleted. You can also withdraw your consent to our using it, subject to any legal or contractual limits, and we’ll explain what that means for us working together. We’ll respond within 30 days.

To limit analytics, you can block cookies in your browser or install Google’s Analytics opt-out add-on at tools.google.com/dlpage/gaoptout. To stop Google using your visit for ads, use adssettings.google.com or youradchoices.ca. The site works fine without cookies.

If you’re not happy with how we’ve handled your information, tell us first and we’ll do our best to put it right. You also have the right to complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Children

This site is for organizations looking for a creative partner. It isn’t aimed at children, and we don’t knowingly collect information from anyone under 16. If you think a child has sent us something, let us know and we’ll delete it.

Changes to this policy

When we change how the site handles information, we’ll update this page and the date at the top. If a change is significant, we’ll say so here rather than bury it.
